The event was our Back To School Picnic, which is an annual event that VSA-LSU hosts every year to bring everyone together to celebrate the upcoming school year. It brings the VSA community back after the long summer break and allows for people to share a meal together since it is potluck style! The food had a wide variety of meals, from sushi bakes and blue store chicken, to Robert's famous baked goods and fruit trays that members brought. We also host the event at a field and provide outdoor activities for our members! Such as multiple volleyballs, spike ball, football, soccer, frisbees, and even bubbles and craft making for those who don't want to partake in sports. The date of BTS Picnic was: Friday, September 12th, 2025. Number of participants was : 83+ . The use of resources was mainly labor on E-board, as the field was free, and the only other resources came from what Eboard already had (food, sporting equipment). We were able to market the event through word of mouth, and by also advertising to people through our social media such as instagram and snapchat.
What efforts were used to motivate and involve the organization's members?
What really helped motivate members and get everyone involved was the support form other VSA members from other schools visiting their friends, as well as the community aspect of it being one of our first big events back from summer. We also were able to motivate a lot of members by telling them that they should show up due to it being a more casual and chill event that allowed them more freedom and encouraging them to bring their friends! Did the organization overcome any challenges that arose while planning and implementing the event? How?
Yes, I think that VSA-LSU overcame communication obstacles while planning the event, as we had the event planed during rush hour and due to the a lot of Eboard arrived late, causing for a delay in et up. Although we bumped into the issue, the team work and communication that stemmed from this allowed us to work together efficiently to get everything ready before members started to show up.
